Invoices that turn into orders

Build an order for a buyer, set when payment is due and email the invoice in a minute. Your buyer pays from a link with the payment methods your store accepts, and the paid invoice drops into your orders, ready to pack.

How an invoice gets paid

From a buyer's request to a packed order, in five steps

A wholesale buyer emails an order. Here is everything that happens next, in the same admin you already sell from.

Build the order for your buyer

Pick the buyer, add products from your catalog or a custom item, and set discounts, shipping and tax. The draft prices everything the way your checkout would.

Example store: Tamarind Candle Works, hand-poured candles and diffusers from Colombo, billing a spa in Edinburgh.

Wholesale and B2B

Trade buyers on terms, without chasing spreadsheets

Set payment terms once on a company or on each of its locations, and every draft for that buyer starts with them. When you complete an order sold on terms, it is recorded as owed with its due date, so you always know which invoices are still open and when each one falls due.

  • Company and location payment terms fill in on every draft

  • Orders sold on terms keep their due date until they are paid

  • Invoice status at a glance: open, invoice sent, completed

Orders and fulfilment

Paid invoices join the queue you already pack from

An invoice that gets paid is an order like any other. It takes stock from the same inventory, prints the same packing slip and label and ships with your usual carriers, so wholesale and one-off orders never need a second process.

  • The order keeps the draft's items, prices, discounts and notes

  • Stock, labels and carriers work as they do for checkout orders

  • A timeline on every order, from invoice sent to delivered

Invoices drafted and followed up, in the time it takes to ask

Turning a buyer's email into a priced order and chasing the ones still unpaid is the admin that eats a morning. Ask the assistant: it builds the draft from the buyer's message, finds the invoices still waiting for payment and drafts a friendly reminder for each buyer. Nothing is sent until you confirm, and writing and acting in the admin use no AI credits.

  • Lists draft orders and orders still waiting for payment, with their due dates

  • Sends the invoice or the reminder only after you confirm

Do I need a separate invoicing app?

No. Invoices are built into Tanqory, in the same admin as your products, orders, stock and payments, on every plan.

How does my buyer pay an invoice?

The invoice email carries a payment link. It opens a secure payment page for that order with the payment methods your store accepts, such as cards or PayPal through the provider you connected.

Are there fees on invoice payments?

Tanqory charges a 0% transaction fee on every plan, with any payment provider you connect. You pay your provider's own rate, and we never mark it up.

Can I give a buyer time to pay?

Yes. Choose due on receipt, due on fulfilment, within 7, 15, 30, 45, 60 or 90 days, or a fixed date. The order shows the date the payment is due.

Can a wholesale customer have their own terms?

Yes. Set payment terms on a company, or on one of its locations, and every new draft for that buyer starts with them. You can still change the terms on a single draft.

What if the buyer pays by bank transfer or cash?

Mark the draft as paid. It becomes an order the same way an online payment would, and the payment is noted on its timeline.

Can I change an invoice after sending it?

Yes. Edit the draft and send the invoice again; every send is kept on the draft's timeline. Lock the prices before sending if you want the buyer to pay exactly what you quoted.

What happens after the invoice is paid?

The draft becomes a normal order with its items, prices, discounts and notes. It takes stock from your inventory and joins your fulfilment queue, ready to pack and ship.

Can the AI assistant help with invoices?

Yes. It can build a draft order from a buyer's message, list the drafts and orders still waiting for payment and draft a reminder, and it sends nothing until you confirm. This everyday work uses no AI credits.
